This Privacy Policy describes how Fairway Circuit LLC ("Fairway Circuit," "we," "us," or "our") collects, uses, and shares information when you use fairwaycircuit.com, app.fairwaycircuit.com, or any subdomain operated by Fairway Circuit (collectively, the "Sites" and "Service").

Information You Provide

When you sign up for a Fairway Circuit account, apply to join a league, or interact with the Service, we collect:

  • Identity information: Name, email address, phone number (if provided)
  • Golf-related information: Handicap index, GHIN number (if provided), home course (if provided)
  • League application data: Your stated reason for joining, who referred you, and any optional notes you include
  • Payment information: If you subscribe to a paid plan, we collect billing information through our payment processor (Stripe). We do not store full credit card numbers on our servers.
  • Communications: Messages, announcements, and other content you post within a league

Information Collected Automatically

  • Usage data: Pages visited, features used, scores entered, rounds played
  • Device data: Browser type, operating system, IP address, screen size
  • Cookies and similar technologies: For session management, preferences, and basic analytics

Information From Third Parties

  • GHIN handicap lookup: If you provide a GHIN number, we may query the public GHIN API to verify your current handicap index
  • Stripe: Payment status and subscription information

2. How We Use Your Information

We use your information to:

  • Operate the Service (create your account, run leagues, track scores, manage memberships)
  • Process payments and manage subscriptions
  • Send transactional emails (round notifications, league announcements, AI-generated newsletters you opt into)
  • Communicate with you about your account or league
  • Improve the Service (understand usage patterns, fix bugs, develop new features)
  • Comply with legal obligations
  • Protect against fraud and abuse

3. How We Share Your Information

With other members of your league: Your name, handicap, scores, and league activity are visible to other members of leagues you join. This is fundamental to how the Service works.

With league administrators: League organizers have access to member contact information, RSVPs, and scoring data for their league.

Publicly (only if you opt in): Some leagues maintain public results pages (e.g., a subdomain like leaguename.fairwaycircuit.com). Your name, handicap, and scores will appear publicly only if you opt in to public listing. You can opt out at any time by emailing hello@fairwaycircuit.com or updating your profile settings.

With service providers: We share information with vendors who help us operate the Service:

  • Supabase (database hosting)
  • Stripe (payment processing)
  • Resend (email delivery)
  • Vercel and Netlify (web hosting)
  • Anthropic (AI newsletter generation — only league summary data, never personal contact information)

For legal reasons: We may disclose information if required by law, subpoena, or to protect the rights, property, or safety of Fairway Circuit, our users, or others.

We do not:

  • Sell your personal information
  • Share your information with advertisers
  • Use your information to train AI models for use outside Fairway Circuit
  • Share your contact information with anyone other than the service providers listed above

4. Your Rights and Choices

Access and Update

You can access and update your account information at any time through the Service.

Opt Out of Public Listing

By default, league members may be listed on public league pages if their league has one. You can opt out at any time by:

Delete Your Account

You can request deletion of your account and personal information by emailing hello@fairwaycircuit.com. We will delete your information within 30 days, except where we are required to retain it for legal, accounting, or fraud prevention purposes.

Email Preferences

You can opt out of marketing emails at any time. Transactional emails (account-related, league-related) cannot be opted out of while you have an active account.

Cookies

You can disable cookies in your browser settings. Some features of the Service may not work properly if cookies are disabled.

5. Data Retention

We retain your information as long as your account is active. After account closure:

  • Personal information is deleted within 30 days
  • Anonymized league data (scores, leaderboards) may be retained for historical league records
  • Information required for legal, accounting, or fraud prevention purposes is retained as required

6. Security

We use industry-standard security measures to protect your information:

  • Encryption in transit (HTTPS) for all data
  • Encryption at rest in our database
  • Regular security audits of our infrastructure
  • Limited employee access on a need-to-know basis

No system is 100% secure. If you become aware of a security issue, please email hello@fairwaycircuit.com immediately.

7. Children's Privacy

The Service is not intended for children under 13. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us with personal information, please email hello@fairwaycircuit.com and we will delete the information promptly.

For minors aged 13-17, a parent or guardian must approve account creation and is responsible for the minor's use of the Service.

8. International Users

Fairway Circuit is operated from the United States. If you access the Service from outside the United States, your information will be transferred to, stored, and processed in the United States. By using the Service, you consent to this transfer.

9. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will:

  • Update the "Last Updated" date at the top
  • Post the new policy at this URL
  • For material changes, notify users by email or in-app notification at least 14 days before the change takes effect

Your continued use of the Service after changes take effect constitutes acceptance of the updated policy.
